Pilot Terms

The terms of the invite-only SponsorGuard pilot: free of charge for 30 days, pre-release software with no service level agreement, feedback calls both ways, and a clear export-then-delete path when it ends.

1. What this covers

SponsorGuard is provided by CORTEXLABS AI LTD, a company registered in England and Wales (company no. 17385502). Registered office: Fenchurch House, 12 King Street, Nottingham, England, NG1 2AS. ICO registration number: 00015777033. Contact: support@sponsorguard.com.

These Pilot Terms apply if we invited you to the SponsorGuard pilot. They sit on top of the Terms of Service and the Data Processing Agreement — everything in those documents still applies, except where these Pilot Terms say otherwise. The invite-only pilot runs for 30 days from activation of your invitation. First invitations are available from 12 October 2026.

2. Free of charge

The pilot is free. There is no fee, no payment card, and no automatic conversion to a paid plan when it ends. If you want to continue after your 30-day invitation period we will talk to you about a paid plan; if you do nothing, the pilot simply ends.

3. Pre-release software, and no service level agreement

SponsorGuard is a working product, but pilot features can change, move, or be withdrawn during the pilot as we act on what we learn. We will tell you about anything that affects how you work.

There is no service level agreement during the pilot: no uptime commitment, no guaranteed response time, and no service credits. We will do our best, and we will tell you promptly if something is broken. Our security commitments are not relaxed — the Data Processing Agreement, including the breach-notification commitment, applies in full throughout the pilot.

Because of that, do not make the pilot your only record of anything your sponsor-licence duties require you to keep. Keep your existing records in place for the duration.

4. Feedback

We are running the pilot to learn, so feedback is the thing we ask of you in return. You agree to join up to 2 feedback calls of about 30 minutes during the pilot, at times that suit you, and to tell us when something does not work.

You give us permission to use your feedback — the opinions, suggestions and bug reports you give us — to improve SponsorGuard, without obligation or payment. That permission covers your feedback only. It does not cover your data: we gain no right to use, publish, or learn from the contents of your workspace, and we will not name you or quote you publicly without your written agreement.

5. Confidentiality, both ways

Each of us will keep the other's confidential information confidential. For you, that includes everything in your workspace. For us, it includes unreleased features, our pricing discussions with you, and anything we show you that is not public. These obligations continue after the pilot ends.

6. Either side can stop

You can end the pilot at any time, for any reason, by telling us — there is nothing to serve notice on and nothing to pay. We can end it the same way, and we will give you as much warning as we reasonably can, along with the export window in clause 7.

7. Your data when the pilot ends

When the pilot ends — whether it runs its full 30 days or stops early — you can export everything you have put into SponsorGuard for 30 days. Exports cover your worker records, evidence documents, and audit packs. Tell us if you would rather we produce a single bundle for you and we will.

After the export window closes we delete your data from our production systems within 30 days, and it ages out of our encrypted database backups within a further 14 days. We will confirm the deletion to you in writing on request.

If you convert to a paid plan, nothing is deleted and your workspace continues as it is.
