Getting started

Walkthroughs for the key journeys.

Create your account & onboarding

Sign up, verify your email, and complete the guided onboarding to set up your sponsor licence workspace.

  1. 1Go to Sign up and choose your account type — sponsor company, or adviser/solicitor firm.
  2. 2Verify your email from the link we send, then sign in.
  3. 3Follow the onboarding checklist: organisation details, your sponsor licence, and your first workspace.
  4. 4Your 7-day free trial starts automatically — no card needed to explore.

Import your workforce (CSV + CoS PDFs)

Bring in your sponsored workers from a spreadsheet or HR export, and upload Certificate of Sponsorship PDFs as your permanent record.

  1. 1Open Workers → Import and upload a CSV/Excel export from your HR or payroll system.
  2. 2Review the auto-mapped columns and confirm — nothing is saved until you approve the mapping.
  3. 3Upload your CoS PDFs; SponsorGuard extracts the key fields and keeps them as your system of record.
  4. 4Each worker now has a profile with visa, RTW, salary, and document status in one view.

Run a salary / SOC going-rate check

Enter a worker's SOC occupation code and SponsorGuard resolves the official Home Office going rate automatically — including new-entrant discounts — and flags anyone paid below the threshold.

  1. 1On a worker profile, enter the SOC occupation code for their role.
  2. 2SponsorGuard resolves the binding going rate and the general salary threshold automatically.
  3. 3Eligible new-entrant or other discount routes are applied where they qualify.
  4. 4Open Salary compliance to see everyone checked at once, with shortfalls flagged. Figures show their 'as of' date and gov.uk source.

Right-to-work checks & re-checks

Record statutory RTW checks and let SponsorGuard schedule the re-checks before time-limited leave expires.

  1. 1Record an RTW check on a worker profile, with the date and evidence.
  2. 2SponsorGuard schedules the next re-check automatically before any visa/leave expiry.
  3. 3Tiered reminders fire at T-90, T-60, T-30, T-14, T-7 and overdue — all logged to the audit trail.
  4. 4Workers can submit their eVisa share code themselves via the portal, with the identity-match step preserved.

Import & reconcile SMS / CoS

The UKVI Sponsorship Management System has no bulk export or history. Import your CoS PDFs to keep a permanent, searchable record and auto-reconcile against your live workforce.

  1. 1Open SMS → Import and upload your Certificate of Sponsorship PDFs.
  2. 2SponsorGuard extracts each CoS and keeps a permanent history the portal won't give you.
  3. 3Review the reconciliation against your live workforce — mismatches are flagged for you to act on.
  4. 4Confirm to commit; you now have an audit-ready SMS record going back years.

Generate an audit pack

Assemble an Appendix-D evidence pack per sponsored worker plus a pre-visit self-assessment, ready for a UKVI compliance visit.

  1. 1Open Audit readiness and review the pre-visit self-assessment questionnaire.
  2. 2Generate the Appendix-D evidence pack for a worker (or in bulk).
  3. 3SponsorGuard assembles documents, RTW checks, salary evidence and review history into a single export.
  4. 4Your team authorises before use — SponsorGuard prepares evidence, you make the compliance decisions.

Invite a worker to the self-service portal

Sponsored workers submit documents, eVisa share codes, and contact updates themselves — flowing straight into your audit record.

  1. 1On a worker profile, choose Invite to portal and enter their email.
  2. 2They receive a secure link to set a password and access their portal — no access to your wider workspace.
  3. 3They upload documents, submit their eVisa share code, and confirm contact details.
  4. 4Everything flows into the employer's record with the identity-match step preserved.

Advisers: add & manage client companies

Adviser and solicitor firms manage every client's sponsor compliance from one workspace, priced by number of client companies.

  1. 1From your firm workspace, open Clients → Add client company.
  2. 2Each client becomes its own isolated workspace you administer as owner.
  3. 3Switch between clients from the workspace switcher; review risk, RTW, SMS, salary and audit signals across the portfolio.
  4. 4Your firm plan covers a set number of client companies — upgrade in Billing to add more.

Frequently asked questions

Answers to the common ones.

Is SponsorGuard immigration legal advice?+
No. SponsorGuard is a sponsor-compliance operations tool. It helps you track, evidence, and prepare — AI-assisted outputs are always human-reviewed, and it does not provide immigration legal advice. Decisions and submissions stay with you and your adviser.
Do you connect directly to the UKVI Sponsorship Management System (SMS)?+
UKVI does not offer an API, and the SMS has no bulk export or history viewer. SponsorGuard works by importing your CoS PDFs and reconciling them against your live workforce, giving you the permanent, searchable record the portal lacks. It is import-first and format-flexible.
How does the SOC going-rate check work?+
Enter a worker's SOC occupation code and SponsorGuard resolves the official Home Office going rate and general salary threshold automatically, applies eligible new-entrant or other discounts, and flags anyone paid below the binding figure. Every figure shows its effective date and gov.uk source.
How current is your compliance data?+
SOC going rates and salary thresholds carry an 'as of' date and a gov.uk source link, shown where the number is used. A weekly monitor checks the official gov.uk pages and alerts us the moment they change, and the public register is re-checked daily.
What is the April 2026 HMRC cross-check, and how does SponsorGuard help?+
From April 2026 the Home Office cross-checks HMRC payroll data against your SMS salary records automatically. SponsorGuard runs the same comparison now — flagging workers paid below their going rate — so you can fix issues before that audit lands.
How is my data secured, and is it GDPR-compliant?+
Data is encrypted, access-controlled, and tenant-isolated. We provide a privacy policy, cookie policy, and security overview. See those pages for the full detail on data handling and your rights.
How does the free trial and billing work?+
Every account gets a 7-day free trial — no card required to start. After that you choose a plan on the pricing page and pay securely via Stripe. You can upgrade or change plan any time from in-app Billing.
Can advisers and solicitor firms manage multiple clients?+
Yes. Firm plans let an adviser or solicitor firm manage every client company's compliance from one workspace, priced by the number of client companies (Practice up to 10, Scale up to 30, Enterprise unlimited). See for advisers.
Can I plug SponsorGuard into my own AI tools?+
Firm-plan customers can connect their own AI client (Claude, Cursor, or any MCP-aware tool) to SponsorGuard's cited UKVI rules corpus via the immigration-rules MCP server — grounded, cited retrieval inside your own workflow.
Can I check a company before signing up?+
Yes — the free Sponsor Compliance Health-Check shows any company's UKVI register status and the obligations every licensed sponsor must stay on top of. No login required.
